This notice explains how and why we use your personal data when you contact us to potentially start a claim (you’re a Potential Client), or when you contract with us for Claims Management Services (you’re a Client).

Navigating this Privacy Policy

For data processing purposes, we refer to you as either a Potential Client or a Client, depending on your relationship with us. To help you find relevant information, the policy is split into three sections:

  • Potential Clients — those who have not yet entered a contract with C2R-Crypto

  • Clients — those who have a contract with C2R-Crypto

  • Everyone — applies to all individuals engaging with us, including both potential clients and clients

Throughout this policy, “your data” refers to your personal information.

Potential Clients

Why we require your data

When you provide your data, you consent to us using your personal information to:

  • Contact you about Claims Management Services through your preferred methods (phone, SMS, email, or post);

  • Manage and improve our website, including enabling your use of services, handling enquiries and complaints, and personalising your experience.

The data we require

To proceed with your enquiry, we need your full name, postal address, telephone number, email address, and information about your case (e.g., what happened, loss amount).

Upon receiving this data, we will email you a Welcome Pack with full information about our services and a contract to sign. Without this information or contract, we cannot provide our services.

Data retention

We keep your contact details for up to three years after your enquiry, during which time we may contact you using your chosen methods (phone, SMS, email, or post) to offer our services.

Your data is stored securely on servers with strict security measures to prevent loss, misuse, or alteration.

Withdrawing your consent

You can withdraw consent for contact at any time via phone, email, live chat, or post.

Clients

The data we require

Once contracted, we keep your full name, postal address, phone, email, and case details including loss amounts.

During claim handling, we may obtain bank details, finance agreements, complaint references, and other personal data necessary to progress your claim.

If you refuse to provide such data, we cannot manage your claim.

How we process your data

By signing our Letter of Authority and agreeing to our Terms & Conditions, you allow us to:

  • Provide Claims Management Services, including sharing your data with relevant banks, lenders, and the Financial Ombudsman Service (FOS);

  • Contact third parties on your behalf per your instructions;

  • Provide updates via phone, SMS, email, or post;

  • Send statements and invoices and collect payments;

  • Share your data with third parties for debt recovery if payments are overdue.

Data retention

We retain your data for as long as necessary to provide our services, usually up to 6 years after your last contract ends, to fulfil legal, regulatory, and accounting obligations.

Data is stored securely with technical and organisational safeguards.

Updating contact preferences

You may opt out of contact via phone, email, or SMS anytime. Postal communications cannot be withdrawn while under contract due to regulatory requirements.

Everyone

Marketing

We may send marketing communications about our services and related offers. You can opt out at any time via phone, email, or post.

We may profile your interactions with our communications to tailor marketing, but you can object to profiling anytime.

Data we collect

We collect data necessary to provide services and comply with legal obligations, including:

  • Website usage data (IP, location, browser type, referrals, etc.)

  • Transaction and claim-related information

  • Registration data (name, contact details, claim details)

  • Communication interaction data (email opens, clicks, SMS responses)
